Taking Inquiries and finding Schools and Programs

The Inquiry Form acts as the information gateway to the Inquiry Management Center. When you complete this form the information is saved as a student inquiry. You may then edit the information, search for a school, enrol the student in a school, set reminders to contact the student at a later date, rate this inquiry based on their likelihood of enrolling, and view their counselor history. You can even include a translated version of this form in your agency's website to receive web inquiries. Web Inquiries are an easy and innovative way to have AMS work for your agency - even outside of business hours.

The Inquiry Management Center consolidates your inquiries in a way that is very easy to understand and use. You can display the inquiries according to their rank of importance, their names, their preferred country of study, their preferred start date, their counselor, and much more. You can also produce e-mail lists in Excel, search through inquires based on key words, and change how the information is viewed to fit your needs.

The School Resource Center allows you to search through the comprehensive database of school information. You can search for programs based on the language that is taught and the country, state, and city that the program is held in. You can also filter schools based on the type of programs they offer, the accommodation and meal plans they provide, and whether or not they are offering promotional pricing to your agency or country. Once you find a school that fits your needs, check the Infopages section for additional information on the school.

Once you have found a program in the School Resource Center, double-clicking on it will bring you to Program Details section. Here you can view detailed information on every aspect of the program as well as view the school's available accommodation. This section includes a feature that calculates the cost of the program based on the number of weeks they want to study, what accommodation they have chosen, and if they want to be insured by the school. You are able to provide a quotation for nearly every cost they can expect to incur while enrolled in the program and present them with a total both in their local currency and the currency used by the school. When you finish making your selections, simply save it to the Submitted Programs section.

When you visit the Submitted Programs section, you will see a list of previously-submitted programs and some general information about each program. Here you are able to determine in what order the programs will be presented in the Quotation Table.

The Quotation Table preview gives side-by-side comparisons of all the programs in the submitted Programs section. It presents three programs per page, with no limit on the number of programs you can include, so that the student can easily make the selection that is right for them. You are able to include a personal message at the top of the page and information about your agency at the bottom - all in the student's native language. You can further customize this table by translating the names of the fields into your native language and including your agency's logo, watermarks, and colors. When you finish, you can e-mail the table directly to the student, print it out, or save it for later use.

 

 
Enrolling a Student in a School

Enrollment(s) hosts all the information that relates to the student's enrollment. Information about the student's visa, passport, diet, allergies, medications, counselor work history, program, accommodation, payment history, signed applications, e-mail history with the agency, and photo can be found here. Editing the student's personal and account information, even canceling their enrollment and registering the student into a different program and school or extending their current program, is easy to do using this section.

Welcome to the Enrollment Form For Schools. Once the visa has been received and all necessary payments have been made, you can send the enrollment to the school directly through e-mail. This form allows you to enter a personal message to the school and customize it according to your tastes and preferences by adding your agency logo, watermarks, and colors. The student's photo is included alongside all the data fields found on the Student Details Page. You may then visit the Configuration Center to determine which data fields should be seen by the school. The ability to configure this form to your tastes gives you complete control over the security of your student's information.

You can also produce e-mail lists in Excel, edit student details, search through enrollments based on multiple criteria, and change how the information is viewed to fit your needs.

 

 
Statistical and Accounting Tools

Statistics are used in business to give leaders valuable decision-making data. Without accurate statistical information available to them, managers can lose sight of changing market trends, employee productivity, and overall company performance.

We recognize the importance of statistics in this industry and have incorporated easy-to-use Statistical Tools into AMS. Thess tools give you the ability to accurately gauge counselor and/or branch performance, compare the ratio of inquiries to enrollments, and develop workable strategies for agency success. You may even be able to identify trends in enrollments that have so far been overlooked. There are no confusing manuals to read through, simply click on the icon and you're ready to go. AMS truly puts you in the drivers seat.

The Accounts Center is the accounting and financial backbone of AMS and is also the place where you can retrieve the AMS credits that you purchase online. You can group schools according to shared accounting centers and specify how accounting practices are to be conducted with the group. You can view, edit, and confirm the transactions that take place between your agency and schools, including all the students you have sent them and their payment histories, and assign accounts to different folders based on their status: open, closed, and archived. Financial reports and receipts can be save, printed or e-mailed, specific school financial forms can be uploaded and attached to the school's account, and searching through records for particular payments or accounts is easy.

 

 
Configuration and Management Tools

Configuration Center is used to customize how AMS is viewed and operated. You can enter information about your marketing and advertising efforts to provide options for students to select among when they are asked,"How did you hear about us?" on both the Inquiry and Web Inquiry forms. You can enter the educational levels of your country; enter text in your native language for the Quotation Table; write out a registration agreement for the student to sign; upload your agency logo and enter details about your agency; design the enrollments forms to be sent to schools or retained for your records; block specific schools from being viewed in the School Resource Center; determine currency exchange rates; block countries from being offered as choices to students in both the Inquiry and Web Inquiry forms; and create profiles for your counselors that grant them varying levels of access to AMS features based on what you want them to see.
